Every organization dreams of extremely efficient and productive employees. We have a variety of methods but unfortunately, all organizations are different so there is no “typical example” we could use to to solve our productivity problems. Many organizations find that using a “paperless” desktop and a document management system can make employees more productive and improve business processes, making them more efficient and timely. However, without training, without goals, without procedures or without communication, your transition to document management will not be as effective as it should be. Consider these tips when implementing a document management system:
Appropriate training
A “paperless” office is quite possible with today’s technology. Document management software has several features to help your employees with time management and productivity, plus give them their opportunity to concentrate on other work. A smooth, timely and effective implementation would require adequate training and realistic goals.
Procedure and objectives
While having adequate training and realistic goals, remember to keep a strict procedure in place. Then give your employees strict time limits for their work objectives. This gives employees plenty of time to work on their tasks and make progress toward the transition. Getting there slowly, day by day, will be the best method. For example, plan to change the physical documents into electronic documents by the second month of transition. To ensure that time limits are respected, employees must be properly trained in the use of document management software.
“Open-door” policy
Another important point is communication. Employees should have the ability to communicate with each other and get help. A support system should be in place during the transition to help employees learn how to use the software and its functions.
After learning to use the software, employee productivity will skyrocket and it will be easier for new projects and new tasks to surface.
